Before the Tour: The Phone Call That Matters
At The Ponderosa Estate, a tour doesn’t start on the day you arrive. It starts with a personal phone call from our administrator, Abigail Hurtado, before you ever set foot in the building.
That call isn’t a sales pitch. It’s a chance for us to listen — to understand who your loved one is, what they need, what your family has been through to get to this point, and what questions you’re carrying. By the time you walk through our door, we already know you. That’s intentional.
What to Notice When You Walk In
How the space feels. Does it feel like a home or an institution? Is it well-lit and calm? Does it smell clean and pleasant?
How staff interact with residents. Not during a formal presentation — in passing, in the hallway, in the dining room. Do staff make eye contact with residents? Do they use their names?
Whether you feel welcomed or managed. A good tour feels like a genuine conversation. You should feel like the staff is interested in whether their community is the right fit — not just in closing a sale.
Questions Worth Asking on the Tour
Bring these with you. The answers — and how comfortably they’re given — are part of what you’re evaluating.
- What does a typical day look like for a resident?
- How are care plans created, and how often are they updated?
- What is the staff-to-resident ratio, and does it change at night or on weekends?
- How long has the current administrator been in this role?
- How will you keep me informed about my loved one?
- What is included in the monthly rate, and what is billed separately?
- What would cause the monthly cost to change after move-in?
What to Trust Beyond the Checklist
After you’ve asked your questions and walked through the space, pay attention to how you feel. Families consistently tell us that the communities that stood out weren’t necessarily the ones with the longest list of amenities — they were the ones where something felt different. The staff remembered something from a phone call two weeks prior. The administrator knew the names of every resident they passed.
Those feelings are information. Trust them.
Questions Worth Asking on Any Tour
Ask these anywhere you tour — including here. The answers will tell you more than any brochure.
“Who will actually care for my parent — and how long have they worked here?” Consistency matters more than square footage. If caregivers rotate weekly, your parent starts over with a stranger every Monday.
“What does the monthly rate include, and what costs extra?” Ask for the add-on list in writing. Levels-of-care upcharges can quietly add hundreds a month as needs change — it’s why we keep pricing all-inclusive: one number, in writing.
“How do you adjust when needs change?” Listen for a real process — reassessment, a family conversation, an updated care plan — not a shrug and a rate increase.
“How will I hear how my parent is doing?” Ask how often the community reaches out before you have to call — and who answers when you do.
“What happens at 2 a.m.?” Overnight staffing is where small homes and big facilities differ most. Ask who is awake at night, and how many residents they look after.
